Pre-submittal Meeting for New Projects
A preliminary meeting with the Development Organization Staff can be held prior to submittal to discuss the scope and nature of the proposed project and how best to proceed. The Development Organization Supervisor should be contacted to schedule a preliminary meeting. The Development Organization Supervisor will determine which staff should be included in the meeting based on the type of project. The applicant should prepare an outline of specific questions for the meeting. Staff will provide an additional package of information that outlines process time lines, fees, submittal requirements, and local ordinances. Pre-submittal Meeting for Addition, Remodel, and Tenant Improvement
The applicant, including the owner or tenant or their representative, and the designer-of-record should meet with the plan checker-of-record before submitting the plans to determine if the project is conceptually appropriate for a submittal to the City, and to identify any potential problems, questions or concerns including submittal process. The applicant can arrange this pre-submittal meeting by contacting Plans and Permits Manager.
Plan Review Meeting
In order to insure orderly and expeditious plan review process, after completion of first plan review, designer may request a meeting with plan check engineer of record to go over plan check comments. When plan review cycle extend more than 2 cycles, applicant and the designer of record is requested that they meet with plan check engineer record to resolved any outstanding item or issues.
Pre-construction Meeting
A pre-construction meeting provides an opportunity to begin communication and problem solving between the City staff and the design/construction team prior to the start of a major construction project. At this meeting, the approved drawings and documents will review and the participants will discuss major items. By pointing out the special features and requirements of each project, the possibility of delays in construction is reduced. Typically plan check engineer of record will arrange the meeting and we encourage owner representative, project architect, project engineer, project manager, project superintendent, and subcontractor to attend this meeting well as applicable City staff.
Pre-final Meeting
A pre-final inspection meeting provides an opportunity for City staff and the design/construction team to resolve any remaining construction issues or problems before the final inspection of a project, or in some cases, before the issuance of a Temporary Certificate of Occupancy. This meeting should be held two to three weeks prior to anticipated occupancy and this meeting should be attend by the owner's rep, project manager/superintendent, and applicable City staff. If necessary, the representatives of other concerned organization or agencies might also attend this meeting.
